Mangomint®, a third-party company, launched it's eponymous software solution in 2007 and has attracted dozens of the most high-tech beauty salons and spas to its platform (including some My Salon Desk clients!). 


The sleek UI and suite of industry-specific features render it an ideal option for beauty professionals yet the $135 price-point is often cost-prohibitive. We at My Salon Desk were drawn to Mangomint® for its premiere Suite of features, but most notably for its ability to support a large cohort of independent stylists with varying scheduling preferences.

Bluetooth Card Reader

Accept payments via credit card, debit card, Apple Pay®, Google Pay® and more with a state-of-the-art NFC card reader. The reader connects to the Tenant App via Bluetooth, and will automatically sync payments.

 If your Tenants ever require advanced assistance with configuring integrations, third-party software, etc., we may be able to provide advanced support but additional costs would apply.

Are your Receptionists US-based or in another country?

We're proudly based in Massachusetts (BOSTON 🍀 to be exact), as are all of our Receptionists!

Our receptionists are all based within our home state, meaning they are very familiar with North American beauty protocol and product lines. We NEVER use foreign-based Receptionists. 


Just FYI, we require our Suites Receptionists to have at least 1-2 years of professional industry experience as a licensed beauty professional, salon or spa manager, receptionist, etc. Fun fact: over 90% of our receptionists have a bachelor's degree or are currently pursuing one! Being in a town with so many great universities, it's no surprise that our receptionists are wicked smart (Boston joke!).

Any professional performing medical-spa procedures such as Cryolipsosis (e.g. Coolscultping®), EMS, Radiofrequency, Microneedling, Dermal Fillers, and / or Wrinkle Relaxers will require a MedSpa plan and their own scheduling software.

How do you protect the privacy of clients + customers?

We take privacy seriously.

All of our communication methods are protected with the highest levels of security and encryption - our phone systems are both PCI and HIPAA-compliant and meet SOC 2 security standards. In line with our Terms of Service we do not make any claims to the client or customer data in your software. We will send informational + marketing newsletters to your Tenants on a weekly or biweekly basis but will never make any unrequested contact to the clients + customers of your Suite Tenants. Additionally each Tenant will only be able to view his or her own schedule and payments.

B I L L I N G

How does billing work?

We take care of EVERYTHING every month!

Based on your selected billing preferences, we will optimize a billing workflow for you and your Tenants. You can select a start date for your monthly Service Cycle (billing cycle) - all billing will occur on the same date each month (1st of the month, 15th of the month, etc.). 


We will directly bill you for you primary Plan Package and any applicable optional Packages, Add-Ons, excess utilization, and sales taxes. If you prefer, we can bill your Tenants directly for any individual Add-Ons + excess call utilization, as well as an evenly divided payment for any optional Packages + Add-Ons.


Are there any required contracts or commitments?

Only a short-term 4-Month Commitment is Required!

We are so confident that you'll enjoy our service that we don't think we need to lock you into a long-term contract! Add-Ons and Upgrades can be updated on a month-to-month basis unless otherwise noted. 


After your initial 4-month Commitment, future service will be renewed within 12-month periods.

What if there are more Covid-related shutdowns?

If you're required to shutdown, you won't be obligated to pay!

While we pray we're through the thick of things, if you're ever required to fully shutdown due to government-imposed Covid-19 pandemic related restrictions we will immediately suspend payment requirements with no advance notice needed. We'll prorate any un-utilized Packages or Add-Ons and provide a credit note towards future service upon re-opening, less any outstanding amounts owed. 


However many businesses may still want to make use of our service to facilitate in-home salon service scheduling if permitted, retail sales with local pickup, future scheduling upon re-opening, etc. We actually worked with about 50% of our clients even through the 2020 shutdowns!

What happens if the Suite goes over the prepaid call volume?

Tenants will be billed directly.    

We require all participating Tenants to maintain payment information on file with us (we accept all major credit + debit cards as well as Apple Pay). If they exceed the pre-determined call balance per Tenant, they'll be invoiced at the end of the month (or you can opt to cover their bill). Unused calls cannot be used to cover excess utilization charges attributed to a distinct Tenant.

How do you determine how calls are attributed to each individual Tenant?

We track the originating number + disposition of each phone call.

We keep track of which Tenant forwarded each call based on call data & also which Tenant the customer asks about. 

Can I guarantee that I won't have any additional costs?

Yes, Absolutely.

The beauty of our service is that the billing procedures can be customized to your needs. Do you already have a set billing date for Tenants? We can adjust our billing cycle to match yours. 


Keep in mind that some jurisdictions require that we collect sales taxes. 

How are texts and web chats billed?

How do Tenants know what they'll be billed?

They can check their real-time usage 24/7 by text.

Yup, it's that easy! They'll just text TOTAL to our number to get a real-time billing update. You will receive a master call log containing all phone numbers that you can make available as you see fit. Tenants can also opt-in to our Instant Call Notification Add-On to receive instant SMS updates with phone numbers + timestamps after every call.


Any other billing amounts you opt to split evenly among Tenants will be itemized in invoices transmitted via email on the Service Cycle date.

How do you handle calls?

You and your Tenants will complete an Intake Questionnaire.

Upon subscription, you and your Tenants would all complete an approximately 10-20 minute Intake Questionnaire that will provide enough information for us to professionally answer your calls. Our receptionists are industry-experienced and highly trained in the provision of white-glove service, so you can save yourself the trouble of providing additional scripts or training.


The standards of our FAQ Answering Service are:

1. Our receptionists professionally answer your clients' calls in the name of the Suite (not your Tenants' individual businesses)

2. Our receptionists answer any inquiries leveraging their existing industry acumen, and forward client-specific messages as needed.


The standards of our Booking Service are:

1. We book and edit appointments directly into any available time-slot within your Tenants' schedules per specific client request.


We provide you with a full call log each month containing phone numbers + timestamps; we provide each Tenant with a log containing only timestamps. Any other notes, scripts, reports, tasks, are NOT included as part of our standard Suite Service offering. 

Do you make outbound calls or texts?

Unfortunately not at this time.

Unfortunately we can NOT make any outbound calls or text messages for your Tenants.

How are Voicemails handled?

We can help with that!

We offer Voicemail Service as an Add-On through which we'll handle phone calls forwarded our way after hours - we'll listen to and address any voicemails received the following day, and make follow-up calls if needed. 


FYI - a Suite Business Number would be any number that you choose to independently forward our way (My Marketing Suite™ number, Tenant Maintenance Support number, etc.). Any Voicemails received on your Tenant Forwarding Number will require an active Voicemail service Add-On by the individual Tenant - they'll be billed directly (unless you choose to pay for it).

Can Tenants provide you with custom scheduling instructions?

Yes - but only if it can be directly programmed into the Scheduling Software.

Our Receptionists will not be available to memorize any scheduling preferences. We do strictly enforce the requirement that all scheduling preferences be scheduled directly into their booking software - no other service customizations are feasible. This should be relatively simple to facilitate given the advanced design.

How do Tenants receive updates regarding their clients?

By text message, or App Notification.

Tenants will automatically receive SMS messages and app notifications for any new, edited, or canceled appointment as well as client arrival notifications  We also will transmit any client-specific inquiries we receive by phone as SMS messages.

How does My Suite Marketing™ work?

We provide a complimentary answering service for prospective Tenants.

Just send us any training materials or information you'd like our Receptionists to share by phone. We can even schedule tours into the software of your choosing: Acuity, SetMore, Calendly, or any scheduler that provides an iFrame embeddable calendar. You'll receive notification emails about any new prospective Tenants, or they can also be synced directly to your CRM.


You'll be alotted a pre-specified amount of complimentary Suite Marketing Calls per Service Cycle - any additional calls will be billed as Excess Calls. You'll be able to view your real-time usage statistics 24/7 by text message

How does Suite 411™ work?

It's a custom automated Receptionist Bot that captures Tenant issues + work requests.

Tenants can submit work + maintenance requests, access FAQs, or submit billing questions. Your Tenants will be able to access Tenant 411™ exclusively by test message. You'll receive email alerts with any requests or questions.


We can also add live phone answering to your Suite 411™ - send us information regarding your business practices (billing, commonly confused protocol, etc.) and we'll support them ourselves! Anything requiring your attention will also be transmitted via text message or email.

How do Tenants forward calls?

Call forwarding is easy to set-up!

Tenants may directly forward calls from any phone provider that allows them to establish their business phone number as the Caller ID for forwarded calls (as opposed to the incoming caller's phone number); this allows us to properly attribute calls to the correct Tenant. 


We have several approved phone providers options where this is feasible:

  • Google Voice (Free)
  • My Salon Desk - Business Phone Number ($10 / month)
  • Grasshopper (starts at $26 / month)
  • Ring Central (starts at $19.99 / month)
  • Ooma (starts at $19.95 / month)
  • Vonage (starts at $19.99 / month)
  • And other VoIP internet-based Phone Providers

If their current phone provider is not compatible, they can port their number over to a compatible provider or use simple Two Step Forwarding:

Number Porting - Tenants can keep their existing business number and simply transition it to a compatible provider; phone port requests can take up to 14 days to complete based on the speed of their existing provider.

Two-Step Forwarding - they can easily make a free Google Voice phone number to serve as an endpoint for calls directly forwarded from their business phone number. They can subsequently set-up the preferred Caller ID configuration within Google Voice to display their business number on externally forwarded calls. Then, the Google Voice number can be forwarded directly to us with the correct settings. The caller won't notice any delay in their call being answered!
Who is responsible for providing technical support to my Tenants?

We are!

We will handle all inquiries and questions regarding the usage of our service. Tenants may contact us via email or web-chat within the Tenant portal.

How will clients get in touch with you - is there a client portal?

Absolutely.

How do Tenants receive their earnings?

They'll each have their own private merchant account.

They'll each have their own merchant account, meaning all payments they receive will be routed directly to their bank account! They will be solely responsible for any refund requests, chargebacks, etc. We do NOT handle any payment issues on behalf of Tenants.

​DETAILED ONBOARDING PROCESS (EST. 2 to 3 WEEKS)

1. Our Business Development Team will support you on your journey towards My Salon Desk Suite Service - we'll meet with you to guide your exploration of our service and answer any questions that arise.


2. Once you decide to move forward with My Salon Desk, we'll send you a custom-branded Interest Survey to disseminate amongst your Tenants as well as some descriptive marketing materials. We'll get a better estimate of how many calls to anticipate from each of your Suite locations so that we can better apportion our Receptionists and tailor your service.


3. After receiving the results of the Interest Survey, you'll have an additional Scoping Meeting with a member of our Business Development Team as well as a dedicated Onboarding Specialist from our Client Concierge Team. Together, you'll finalize your billing selections, Add-Ons and Optional Services, etc. - after which you'll complete your Service Agreement and first payment.


4. You'll then submit a brief Intake Questionnaire where you'll also provide us with marketing materials to support your custom Suite 411™ & My Marketing Suite™ features. Your dedicated Onboarding Specialist will also host a mandatory Informational Webinar prior to sending an Intake Questionnaire to all of your Tenants to obtain their general business preferences. They'll also be required to agree to our Terms of Service as well as the customized Terms of Service for your Suite based on your billing selections.


5. At this point, Tenants may also select from our suite of Add-Ons to further customize their service - this will be available directly within the Tenant Portal.


6. Subsequently they'll receive their scheduling software login details and tutorials on how to customize their accounts with service pricing, duration, etc. - ALL of their scheduling preferences will need to be directly programmed. We'll also provide Tenants with their custom online scheduling link.


7. If you decide to host the master online booking widget within your website (consisting of all bookable services for all Suite Tenants), you may do so with a simple drop-in script.


8. We'll provide you with:

  • Your new Forwarding Number (or new Business Number based on your billing selections)
  • Tutorials for how Tenants can forward calls to your Forwarding Number

9. Finally, you can begin service! The entire process can take as little as 2-3 weeks depending on how quickly you and your Tenants complete the onboarding process.

​FAQ ANSWERING SERVICE + BOOKING SERVICE

Examples of requests that CANNOT be accommodated by our Receptionists (but that Tenants can handle on their own OR potentially implement via online booking):

  • Requests to book certain services only on certain days or at certain times
  • Requests to manually adjust booking settings (duration, date, etc.) for certain clients
  • Requests to minimize scheduling gaps - we book any available times within the schedule 
  • A la carte service menus - we book only services as requested by the caller, so bundled services are best
  • Repeating (series) appointments
  • Group appointments
  • Multi-staff businesses - each stylist will be scheduled and paid as an individual business operator
  • Multi-stylist appointments (when 1 client sees 2+ stylists for 1 service - Sarah colors hair while Mary styles it), Multi-stylist packages, etc.
  • Requests to process cancellation / no-show fees

Examples of requests we CANNOT accommodated under any circumstances at present:
  • Service Packages + Bundles (Tenants can manually add services onto any appointment)
